How is the service charge calculated?

Our service charge is designed to cover the costs of providing the ticketing service. It includes application and payment processing charges made by third-party providers, together with a 15p per ticket management charge retained by Scarborough Community Box Office.

For lower-priced tickets, the fixed elements of payment processing can mean that the actual cost of making the sale is greater than the standard charge collected. Where this happens, an additional 20p transaction charge is applied to help cover the difference.

If you choose an Inside Commission, these costs are contained within your advertised ticket price and deducted before settlement. If you choose an Outside Commission, the calculated cost is added to the advertised ticket price as a booking fee paid by the customer. Outside booking fees are rounded up to the nearest 25p.

This calculator provides an indication of the charges that are likely to apply. Actual charges may vary according to the nature of your event, ticket prices and ticketing arrangements. We'll confirm these with you before tickets go on sale.

Managing your box office service

Scarborough Community Box Office provides a fully managed ticketing service for event organisers, producers and promoters. We don’t simply put your tickets online – we look after the sales process and your ticket-buying customers from the moment your event goes on sale through to final settlement.

We’ll create and list your event, including reserved seating plans where required, and make tickets available to buy online or directly through us by telephone, email or text. We collect the ticket income on your behalf and hold it securely until your event has taken place.

01

We deal with the customers, so you don’t have to

Once your event is on sale, SCBO becomes the first point of contact for ticket-related customer service.

We deal with booking enquiries, payment and ticketing issues, changes and other questions relating to a customer’s booking. If somebody contacts us with a complaint, we’ll handle the initial contact and, wherever possible, resolve the issue directly. Compliments and other customer feedback can come through us too, with anything you need to know passed back to you.

It means you can concentrate on producing and delivering your event rather than answering questions about missing tickets, checking bookings or dealing with individual sales enquiries.

02

Selling your tickets

Your customers can book online at any time, but they don’t have to be comfortable buying online. We can also take bookings directly by telephone and can arrange sales following enquiries by email or text.

For events with allocated seating, we’ll create the seating plan and configure the different areas, ticket types and prices required for your event.

Throughout the sales period, SCBO collects the ticket revenue on your behalf and keeps it securely held pending completion of the event.

03

Keeping you up to date

We’ll send you regular sales reports throughout the period your event is on sale, so you can keep track of how bookings are progressing.

These are normally sent weekly, but if you need to monitor sales more closely – particularly as the event approaches – you can ask to receive reports more frequently.

04

Helping people discover your event

Standard inclusion in the SCBO newsletter is included as part of the service at no additional charge.

Our newsletter is an editorial email sent to past SCBO customers. Rather than simply presenting a list of forthcoming events, it looks at the people, ideas and stories behind them, helping readers discover what’s coming up and giving them a reason to find out more.

Where appropriate, we’ll invite you to provide information or answer a few questions that can help us tell the story behind your event.

05

On the day

When it’s time to welcome your audience, we can help make checking people in straightforward too.

Our ticketing partner’s scanning app is available for iOS and Android devices and can be made available to you or your front-of-house team, allowing tickets to be scanned as customers arrive.

If you’d rather keep things simple and use a manual system, we can instead provide an up-to-date guest list for checking customers in at the door.

06

After your event

We aim to make settlement straightforward and prompt.

Usually within one working day of the final performance in a run, we’ll provide you with a settlement statement showing your ticket sales, the agreed charges and the balance due to you.

You then invoice SCBO for the amount shown on the settlement statement and we’ll normally transfer the funds to you by Faster Payment within one working day of receiving your invoice.

Occasionally, income from the final few days of sales may still be making its way to us from our third-party payment processor. If this happens, we’ll let you know and transfer the outstanding funds as soon as they have cleared.

More than ticketing software

There are plenty of systems that will let you create an event and sell a ticket online. SCBO is different because there’s a person looking after the box office.

We’re there for your customers when they need help, and we’re there for you throughout the sales process. From setting up the event and answering the first booking enquiry, through sales reporting, customer communications and welcoming your audience, to reconciling the final sales and transferring the proceeds, we take care of the box office so you can concentrate on the event.
